Job Description

Soli Organic is a leading CEA (Controlled Environment Agriculture) company in the US. As the company expands, it is establishing several new high-tech facilities. The Facility Development team managing this expansion is looking for a driven Project Manager (PM) who wants to grow and develop together with our company.

The Project Manager (PM) will provide day-to-day supervision of critical facility work sites, including managing planning and team communication across multiple stages of development: site planning, breaking ground, core and shell construction, equipment design, ordering and installation, and quality, safety, and operational readiness checks. The PM is the 'first line' for daily team questions and status checks, meaning regular communication with the General Contractor, Equipment Vendors, Soli CapEx and Soli Facilities teams. They are responsible for managing progress across multi-year construction, ensuring projects remain on time and on budget. To do this, the PM will use strong organizational and communications skills, plus knowledge of facility design and development. They will also manage inputs and reporting in our company software, Asite.

The Project Manager reports to the Facility development and Design leader.

Specific Responsibilities:

Overall project management:
• Use project management approaches and Asite to ensure that all projects are delivered on-time, within scope and within budget
• With oversight, develop project scopes and objectives, involving all relevant stakeholders, and ensuring technical feasibility
• Through Asite reporting and regular updates, provide status, risk escalation and project performance reports
• Create and update overall construction calendar, including key milestones and interdependencies
• Perform risk management to minimize project risks
• Travel weekly and no less than 50% of the year to site location to manage progress in person

Project resource management:
• Coordinate internal resources and vendors for execution of projects including booking, scoping and supply chain/shipping management
• Create budget report weekly as part of overall monitoring and tracking spend against project budget
• Adhere to, and plan timelines within CapEx approval processes guiding PO creation and invoice approvals
• Assist in review and monitoring of P.O. and contract status, with final payment oversight from Facilities leader

Project communications:
• Remain in close contact with all project stakeholders—sharing information and status often for best collaboration
• Know and anticipate requirements to share updates and information
• Establish and maintain relationships with third parties/vendors
• Communicate clearly and flexibly across different styles of teams and individuals

Documentation and approvals:
• Manage approval workflows in Asite to receive input on designs from key stakeholders across the company, especially within R&D an Equipment
• Manage process across inputs to obtain and store permits and licenses from appropriate authorities
• Use appropriate verification techniques including change order process and approval flows to manage and meticulously document changes in project scope, schedule, and costs
• Create and maintain comprehensive project documentation across plans, POs, invoices, Change Orders and GC or Supplier feedback
• Create and store punch lists and inspection reports
• Manage all close out documents and check records to ensure smooth application to next facility build
• Work with Soli teams and contractors to ensure strict adherence to all health and safety standards and report issues
